Your empty chair has a price tag

If you run an appointment-based business, an empty slot still costs you. Three numbers. Two minutes. Then you will know.

Your no-show bill

$12,480 a year

4 no-shows a week x $60 x 52 weeks. That is about $1,040 a month.

Win back one no-show a week and that is $3,120 a year.

Starting numbers are an example. Type your own. Nothing you enter leaves this page.

One week, 40 bookings, 4 empty slots. Each square is one booking.

No numbers yet? Tally four weeks: date, service, showed or not, what the slot was worth.

Most no-shows aren't rude. They're forgetful.

Do reminder texts actually work?

The best proof we could find: a Cochrane review of eight trials of text reminders for healthcare appointments.

Share of appointments attended. Cochrane review, 2013: 8 randomized trials, 6,615 people. This is healthcare, not salons, and the authors rate the evidence low to moderate. Text and phone call came out about the same, and texting cost less per attendance.

Read it this way: reminders beat silence in healthcare. We found no randomized trial in salons, so treat it as a direction and test it on your own tally.

Make "I can't come" the easiest message to send

A silent no-show costs the whole slot. A move-it link gives you time to refill it.

The rule: whenever someone asks to cancel, offer a new time first.

Sorry, I need to cancel Thursday.
No problem. Can I move you to Friday at 2:00 PM instead?

What the evidence says

A 2016 systematic review of healthcare reminders treats cancelling and rescheduling as a good outcome, because they free the slot early. In three trials, personal phone reminders raised cancellations and reschedules. Text reminders did not, possibly because few are written to invite it. Its advice: word the reminder so people can cancel and rebook easily. This is healthcare evidence, not salons. McLean et al., 2016

What the research says · healthcare, not salons

Offers accepted24.6%of waitlisted appointments took an earlier slot when one opened. One US health system, 2023.
Showed up96.8%of those accepted visits were not no-shows (3.25% were).
Not guaranteed23.7%of rescheduled visits were later cancelled. Rebooking is a second chance, not a sure thing.

Source: North et al., Health Services Insights, 2025 (229,998 waitlisted appointments). A separate study of one US academic medical centre's self-rescheduling tool found it added 2,576 patient service hours over nine months, with an estimated US$3 million in fees (Ganeshan et al., JMIR, 2024). Both are healthcare. Track your own refill rate.

Doing this by hand?

That is the part owners drop. Ava, our AI receptionist, does it for you. She can phone tomorrow’s clients with a reminder, and she can text them too. They can confirm, cancel or reschedule. When a slot opens, she offers it to the next person on your waitlist by text, and a YES books it. You are alerted to every change. See Ava for nail salons.

Questions

Plain answers.

How do I reduce no-shows?
Count them for four weeks, then try one fix at a time: a reminder, an easy way to reschedule, a deposit or card on file, or a waitlist for cancelled slots. Compare each against your own tally.
How far ahead should I send a reminder?
A common starting point is at booking, about 48 hours before, and the morning of for first-timers or long services. Treat it as a starting schedule and adjust it to your own no-show tally.
Do text reminders actually work?
A Cochrane review of eight trials found higher attendance at healthcare appointments with text reminders (78.6%) than with none (67.8%). It covers healthcare, not salons, and rates the evidence low to moderate.
Should I charge a deposit?
It depends on the client and the service. Deposits suit new clients and long or high-value services. Say clearly that it comes off the bill. We don't give legal advice, so check Ontario's contract page, and your professional college if you run a regulated clinic.
What should a reminder text say?
The day and time, the service, one way to confirm, and one way to move it. Keep it to two sentences.
What should I do when a client asks to cancel?
Offer a new time before anything else. A rebooked appointment keeps the revenue, and the client keeps the habit. Save fees and firm rules for late cancellations, and write them in your house rules.
